Autopilot lets you customize the workflow at your property and give flexibility in communication with guests via emails and notifications and how SmartKeys and PINs are generated.


Requirements:

  1. Only trial and approved properties can use Autopilot.

  2. Emails related to guests added in Automation functions only work for white-listed emails for trial properties.

  3. Periodic automation is only available for properties that are integrated with Mailchimp.


Create an Autopilot

By default, you have eight automation cards that are turned off when you start with Goki. You need to turn on the ones you need to generate a SmartKey or send any other emails.

The idea is for you to be able to customize the Goki experience however you like it! So feel free to play around with the autopilot feature to learn more about it!

  • Add Automation by clicking the "+ New Automation" button found at the bottom right corner.

  • You can now customize your automation. Making it a "periodic automation" is also one of the many options!


Note

  • You can have up to 10 Automation cards.


Conditions and Values

When you create an Automation card, conditions and values can be customized for each event.


  • Segment ID → is/is not

    • Segment ID is defined in PMS. Segments are able to categorize users by defined rules for them.

    • Once you copy Segment ID from PMS and set value IS Goki will send an email/notification to those segments reservations.

    • Once you copy Segment ID from PMS and set value IS NOT Goki won't send an email/notification to those segments reservations

  • From Date → is equal to/is greater than/is less than/is greater than or equal to/is less than or equal to → Yesterday()/Today()/Tomorrow()/Select Date

    • With this condition and values, you are able to set the dates/periods for those reservations which will receive the email/notification.

  • Has Smart Lock → True/False

    • Once you set True value with this condition, Goki will send an email/notification only to those reservations which room has a lock.

    • This condition (True) will prevent pin generation and emails if the room has no lock.

Create a Periodic

Use Mailchimp to send customized emails to travelers. You can create periodic automation and manage to send emails/notifications to the reservations for specific days, weeks, or months.


Note:

The feature is available for Mailchimp-integrated properties.


Send emails/notifications daily, weekly or monthly

  • When you create a Periodic under the "When" condition, you can choose to send emails/notifications Daily for a specific time.

  • You are able to send Weekly notifications/emails for a specific day and time.

  • Also, you are able to send notifications/emails Monthly for a specific date and time.

Once you schedule your notifications/emails, you are able to customize conditions/values under the "Conditions" section, enter the subject name and choose Mailchimp templates from the dropdown under the "Then" section.

Limitation

Not every PMS supports a Segment ID. Currently, only Mews users can customize their Automation card using Segment ID, other PMSes do not have it.
