Create an Autopilot workflow

Automate and customize your workflow and guest experience by Autopilot.

The Autopilot tool allows you to customize your property's workflow, providing flexible communication with guests through emails and notifications, while also streamlining the generation of SmartKeys and PINs.


Requirements:

  1. Only trial and approved properties can use Autopilot.

  2. In trial properties, guest-related emails triggered by automation features will only function for white-listed email addresses.

  3. Periodic automation is only available for properties that are integrated with Mailchimp.


Create an Autopilot

By default, you have eight automation cards that are turned off when you start with Goki. You need to turn on the ones you need to generate a SmartKey or send any other emails.

The idea is for you to be able to customize the Goki experience however you like it! So feel free to play around with the autopilot feature to learn more about it!

  • Add Automation by clicking the "+ New Automation" button found at the bottom right corner.

  • You can now customize your automation. Making it a "periodic automation" is also one of the many options!


Note

  • You can have up to 10 Automation cards, regardless of whether they are enabled or disabled.


Conditions and Values

When you create an Automation card, conditions and values can be customized for each event.


  • Segment ID → is/is not

    • Segment ID is defined in PMS. Segments are able to categorize users by defined rules for them.

    • Once you copy Segment ID from PMS and set value IS Goki will send an email/notification to those segments reservations.

    • Once you copy Segment ID from PMS and set value IS NOT Goki won't send an email/notification to those segments reservations

  • From Date → is equal to/is greater than/is less than/is greater than or equal to/is less than or equal to → Yesterday()/Today()/Tomorrow()/Select Date

    • With these conditions and values, you are able to set the dates/periods for those reservations which will receive the email/notification.

  • Has Smart Lock → True/False

    • Once you set True value with this condition, Goki will send an email/notification only to those reservations whose room has a lock.

    • This condition (True) will prevent pin generation and emails if the room has no lock.

Create a Periodic

Use Mailchimp/Mailgun to send customized emails to the guests. You can create periodic automation and manage to send emails/notifications to the reservations for specific days, weeks, or months.


Note:

This feature is available for properties integrated with Mailchimp or Mailgun. You can integrate these tools by navigating to Settings > Marketplace.


Send emails/notifications daily, weekly or monthly

  • When you create a Periodic under the "When" condition, you can choose to send emails/notifications Daily for a specific time.

  • You are able to send Weekly notifications/emails for a specific day and time.

  • Also, you are able to send notifications/emails Monthly for a specific date and time.

Once you schedule your notifications/emails, you are able to customize the conditions/values under the "Conditions" section, enter the subject name and choose Mailchimp/Mailgun templates from the dropdown under the "Then" section.

Limitation

Not every PMS supports a Segment ID. Currently, only Mews users can customize their Automation card using Segment ID, other PMSes do not have it.


Note:

You can enable Mailchimp or Mailgun integration for your property to customize your emails and to create periodic automation.
