In addition to the Spaces app, Goki dashboard also gives you the ability to manage PINs, create PINs, as well as disable/enable them. Most of these, including creating 4-digit PINs, disabling/enabling PINs, and managing reservation PINs, can only be done if you have an active GokiAir device for the room.
Note:
Learn more about GokiAir here.
PIN Types
Each property has unique needs, and Goki provides various PIN types to address specific situations. We offer a Reservation PIN along with four other PIN types, all of which can be generated, regenerated, disabled, or removed through the Goki dashboard, with or without having the lock connected to the WiFi/GokiAir.
In each room's settings under the "PINs" section, you will find two categories: "Current Guest's PINs" and "Other PINs."
You can do all these actions from the Space app too. Learn more.
Requirement
You Should have "Rooms and common area doors" permissions.
Current Guest's PINs
All reservation PINs are listed in the "Current Guests PINs" section. If a PIN doesn't work, you can regenerate it by hovering over the PIN row and selecting the three-dot option next to it.
Note:
Now you can download all reservation PINs .
If you set the reservation date to the past while the reservation is checked in, the PIN will be marked as expired.
Note:
Once a GokiAir is connected, you can enable/disable (give/limit access) reservation PIN for the guests.
You can disable/enable the Main room's PIN for the guest for a while but can't disable the same common area PIN. If you want to limit access to the Common area room, the reservation state should be Checked out or Cancelled.
If the room is connected to GokiAir, but the lock is offline, we generate a random 7-10 digit PIN for the room, which has 24-hour expiry.
If the room has a lock, you have access to the guest PIN via search card, guest profile, or reservation drawer, too (You Can Pull from PMS to get any update manually, although Goki will do it automatically)
Note:
When you change the main room:
If there is a Short guest PIN and the lock is online> The previous PIN doesn't work anymore.
If there is a Short PIN and the lock is offline> The previous PIN works. (It should be deleted automatically later)
In both cases the same common area old and new PIN works.
When you Check out the reservation Earlier:
If there is a Short PIN and the lock is offline> The PIN works in the Main room and common area. (It should be deleted automatically later)
If there is a Short PIN and the lock is online> The PIN doesn't work anymore in the Main room and common area.
When you Cancel the reservation Earlier:
If there is a Short PIN and the lock is online> The PIN doesn't work anymore in the Main room and common area.
If there is a Short PIN and the lock is offline> The PIN works in the Main room and common area. (It should be deleted automatically later)
Short PINs
Goki is supposed to use logic to generate memorable(4 digits) PINs; the logic generates completely random digits & shares them with guests after check-in.
Note
If the lock is not connected to the WiFi/GokiAir, long random pins will be generated in all cases.
Goki always tries to update the existing short PIN instead of regenerating a new PIN.
When reservation start and end dates update, Goki always tries to update the existing short PIN instead of regenerating a new PIN. (No new PIN will be generated)
If the guest has no other active reservation and PIN for their account, we use their previous PIN for that Goki account for their next reservation (except for group reservations).
Short PINs are unique per owner (guest or staff) on the whole property.
Regenerating a PIN manually can create a shorter PIN too.
Other PINs
All different PINs you can create/disable/enable/ remotely from the Other PINs section for each room. Learn more about PIN types.
One Time PIN
You can generate a One Time PIN from the Goki Dashboard for specific situations, for example when a guest has checked out but needs to access their old room to retrieve belongings or when changing rooms.
Notes:
You Should have "Rooms and common area doors" permissions.
One Time PINs can be generated remotely, but they can be removed or disabled from there only with the help of GokiAir.
Warning
One Time PIN is valid for 6 hours.
One Time PIN works only once, if you try for the second time, It will not work.
While creating OTP, you can not choose past time and date.
4-Digit PIN
You can generate a 4-digit PIN from the Goki Dashboard only if the lock is connected to WiFi/GokiAir.
Also, it has an option to share in check-in. You can define it by yourself; you have an opportunity to select any "4 Digit PIN" you want and set the dates.
Notes:
Once the GokiAir is connected, you can generate/delete 4-digit PINs.
Random PIN
You can Generate a Random PIN from the Goki dashboard in case of specific situations, like when someone except a guest needs to use this room for some reason and for some time.
The difference between a Random PIN and 4-digit PIN is that Goki generates a Random PIN by itself, and you can not define it, a Random PIN is longer than 4 digits, and you can generate it remotely.
Notes:
Once you have the GokiAir connected, you can enable/disable Random PIN.
